BlackBerry Mailbox keeps filling up (Web Client)

This if for BlackBerry users using the Web Client to manage their wireless e-mail. When using the web mailbox that is provided by your service provider, you are usually limited to a 25 MB mailbox size. If you receive a lot of attachments, your mailbox will reach its limit easily. Below are some tips on how to keep your Blackberry mailbox from filling up.

We have a few users who e-mail us a few times a week, begging us to clear their blackberry mailbox. When your mailbox is over it's size limit, you will receive this e-mail from the "Quota Manager":

Subject: Mailbox full

One or more messages could not be delivered your mailbox because they would have put your mailbox disk usage over its quota system will keep trying to deliver these messages. To receive them, you must delete some old messages from your mailbox.

First things first, we will need to delete the mail from your Web Client mailbox. The steps are as follows:


  1. Open your web browser and go to your BlackBerry Web Client
  2. Log in using your username and password (should you not know this username or password, please contact your System Administrator or call your service provider's technical support line)
  3. On the right-hand side navigation, click on Inbox
  4. Check the box in the heading on the right-hand side. This should check all the boxes next to the e-mail message. (If this doesn't check all the boxes, then try it again. If it still doesn't, then reload the page. If you are still having problems after that, you will have to select each message individually)
  5. Click the Delete button
  6. On the right-hand side navigation, click the Manager Folders button
  7. Under the Folders list, click the [Empty] link, next to Deleted Items

Your BlackBerry mail box is now cleared! However, there are some settings you should check to ensure this doesn't happen again (or very often).

Ensure that Auto Age is turned on (Web Client)

  1. In the Web Client, click on the Manager Folders button from the right-hand side navigation.
  2. Click on the Inbox link under the Folders list
  3. Check the box for "Auto Age items older than"
  4. Enter the number of days you'd like to keep your e-mail messages in your Web Client mailbox. (I advise you set the numbers days to 1; since your mail is being forwarded to the handheld, removing the messages every day will not remove them from your blackberry)
  5. Click the Save and Close button.

    Repeat these steps for the Deleted Items folder.

Ensure Wireless Reconciliation is enabled on your BlackBerry

  1. On your Blackberry handheld, go to your Messages screen (your inbox)
  2. Click the trackwheel and scroll to Options. Click the trackwheel once to view the Options menu.
  3. Scroll to Email Reconciliation and click the trackwheel once.
  4. Make sure that Delete On is set to "Mailbox & Handheld"; To change the option, scroll to the Delete On field and click the trackwheel, scroll to Change Option and click the trackwheel. Scroll to "Mailbox & Handheld" and click the trackwheel.
  5. Make sure that Wireless Reconcile is set to "On"; To change the option, scroll to the Wireless Reconcile field and click the trackwheel, scroll to Change Option and click the trackwheel. Scroll to "On" and click the trackwheel.
  6. Make sure that On Conflicts is set to "Handheld Wins"; To change the option, scroll to the On Conflicts field and click the trackwheel, scroll to Change Option and click the trackwheel. Scroll to "Handheld Wins" and click the trackwheel.

Your blackberry is now set to remove the message from your mailbox after one day, or if you delete it from your Blackberry before that. You may receive the Mailbox Full e-mail from time to time, if you are looking for a more permanent solution, please try the following:

Blackberry Internet Service 2.0
They have recently upgraded the web client software to Blackberry Internet Service (BIS) 2.0. The new version of BIS will automatically delete messages from your mailbox to prevent it from filling up. To upgrade to BIS 2.0, log into your web client and it will prompt you to upgrade to the new version. If you don't see this prompt, please contact your service provider's technical support line.

Increase your mailbox size
As mentioned above, your web client mailbox is 25 MB. You can increase the size of the mailbox by contacting your service provider, however, there is usually a cost associated with this. Although, I have increased the mailbox size for some users and haven't been charged. I have had the mailbox moved up to 50 MB. I don't know if they will offer a large mailbox.
